IPEDS - Graduation Rates Report

IPEDS (Integrated Post-secondary Education Data System) reports are required by the U.S. Department of Education’s National Center for Education Statistics (NCES) annually from every post-secondary institution that participates in federal student financial aid programs. This includes universities, colleges, technical schools, and vocational institutions. 

IPEDS consists of twelve interrelated survey components that are collected over three reporting periods (Fall, Winter, and Spring) each year. Each reporting period requires different types of data from the institute.

The importance of the IPEDS report is to collect and analyze data related to post-secondary education in the U.S. 

The purpose of the Graduation Rates Report is to track the cohorts of full-time degree/ certificate seeking undergraduates, as well as their completion status at 100% and 150% of normal time at post-secondary institutions.

The purpose of the data collection is to help institutions comply with the Student Right to Know Act.

 

1. Required Set-up

The following fields must be set up correctly before generating the report:

Enter the program duration.

Depending on the duration, 150% and 100% of the normal time will be calculated.

2GenderSelect the gender of the student. In IPEDS Reports, gender is reported using two categories: male or female.

This field can be found in the edit Student Record page.

NOTE:

If there are other Genders, they must be added to the System manually so that it can pull Genders to all the IPEDS Reports automatically.

Admins need to Set up the Gender from: Setup & Customization > Customization > [Gender]

3IPEDS Enrollment TypeSelect the IPEDS Enrollment Type from the drop-down list.

This field can be found in the Program Registration page in Student Record.

Students > Student Records > Student Record > Enrolled Programs > Add/Edit Program > IPEDS Enrollment Type

4Program Category

Select the program category using the drop-down list.

Make sure the program is a certificate-seeking undergraduate program.

i.e. Bachelors Degree

This field can be found in the edit Program page.

Setup & Customization > Customization > Programs > Program > Program Category

5Withdrawal Reason

Set-up Withdrawal Reasons certified by IPEDS.

Add the following certified withdrawal reasons from the customization page; Setup & Customization > Customization > Withdrawal Reason

(Only the text needs to match)Death

Armed Forces

Disability

Foreign Aid Service

Federal Government

Official Church Mission

Service

This field can be found in the Program Registration page in Student Record.

Students > Student Records > Student Record > Enrolled Programs > Add/Edit Program > Withdrawal Reason

6Financial Aid for Students

Set-up Financial Aid Types for students.

Add "Pell Grant" and "Direct Sub Loan" as financial aid from the customization page; Setup & Customization > Customization > Financial Aid Types

As necessary, add the financial aid in the students record.

Students > Student Records > Select Student > Right Link > Financial Aid.

7Enroll Type of Student enrolled program status

Select Enroll Type of Student enrolled program status.

Enroll Type must be Enrolled, LOA, Graduated, Withdrawn or Deceased

The option is available in the edit student status page from customization.

8CIP Code

The program must have a CIP code.

 

CIP is an acronym for “Classification of Instructional Programs”. CIP codes are given by the National Center for Education Statistics ( NCES). The CIP code provides a taxonomic scheme that supports the accurate tracking and reporting of fields of study and program completions activity.

The field option can be found in the edit program page.

9First-time studentSelect whether the student is a first-time student by checking the radio buttons.

This field can be found in the Student Record:

Students > Student Records > Student Record

IPEDS listed ethnicity

  • You can add Race/Ethnic Origin as necessary from Setup & Customization. Setup & Customization > Customization > Race/Ethnic Origins

The following ethnicities are recommended by IPEDS:

  1. Nonresident alien
  2. Hispanic/Latino
  3. American Indian or Alaska Native
  4. Asian
  5. Black or African American
  6. Native Hawaiian or Other Pacific Islander
  7. White
  8. Two or more races
  9. Race and ethnicity unknown

2. Generating the Report

  • From the left panel, click on Reports, and then click on Standard reports link.
  • The Standard Reports page will open.
  • Click on IPEDS - Graduation Rates Report [82D] Report (Use the Filter box and type IPEDS to find it easily).
  • The IPEDS - Graduation Rates Report page will open.
  • To generate the correct report output, the dates should be September 1 through August 31 (which is a year).
  • Set the From Date and To Date as required.
  • Filter the Student Status and Registration Campus using the checkboxes.
  • You can select the respective Check All checkboxes to include all Student Statuses and Registration Campuses
  • Click the Generate Report button to generate the report.
  • The Graduation Rates Report will be generated according to the specifications provided.
  • The Column Descriptions are given in section 3.
  • You can click on the numbers to see more detailed information about the students in that particular category.
  • You can print the report or download it to excel by clicking on the respective buttons on the top right of the report.

 

3. Report Column Descriptions

  • The cumulative number of these students who completed their program within 150% of normal time. For example, students who completed a 4-year program within 6 years.

  • Completers within 100% (students who completed their program within the target time).
  • It depends on the Target Comp. Date field from Students > Student Records > [Student Name] > Registration Records [Right panel links]
  • The Target Comp. Date field will show as the End Date of Last Scheduled Class field for programs with Credit Hours.

11Recipients of a Pell Grant (Within entering year) Students who have received a "Pell Grant" financial aid payment.
12Recipients of a Direct Subsidized Loan (Within entering year) that did not receive a Pell Grant Students who have received the "Direct Subsidized Loan" financial aid payment but did not receive a "Pell Grant" payment.
13Did not receive either a Pell Grant or Direct Subsidized Loan (Within entering year) Students who have neither received the "Direct Subsidized Loan" nor the "Pell Grant" financial aid payment.

Note

  • Recipients of a Pell Grant and Recipients of a Direct Subsidized Loan that did not receive a Pell Grant are mutually exclusive, which means if a student is in one cohort, they cannot be in the other cohort.
  • The total of these 2 sub-cohorts must be less than the full-time, degree/certificate-seeking cohort.
  • All program categories are Certificate-seeking, except Non-Credential Program, which is Non-certificate-seeking.
